The loan processing routine automatically assigns loan ticket numbers that are the same as the number on the pre-printed loan forms. On all loans, the amount of interest to be charged or refunded is calculated by the computer. As loans are renewed the system will automatically copy all the loan information from the old loan to the new loan; the "new" loan may then be modified in the case that some of the entry fields have changed. If the loan is dropped, the system will enter the item(s) into the inventory file. Any firearms taken in are posted to the Federal Firearms Book (ATF Book) and when the loan is redeemed, the disposition entries of the ATF Book are automatically completed. If the loan is dropped, the firearm is put into inventory and when sold the disposition information is completed. As each loan is made, an inventory category code is assigned to each item pawned. The category code stays with the item when the loan is pulled and the item is posted to inventory. The inventory routine has the ability to quickly search for items by the category code to see if an item is available for sale.

Generic Loan screen changes by State
When the loan routine is selected there are two options that the operator can initiate, either A=add a new loan or I=inquire for an old loan. Once a loan is found with the inquire mode then one of the following operations may take place: Pay, Renew, Write a new loan, Backup (inquire mode allows operator to backup one loan), Extend or Void. When any of the above transactions are executed, cash is involved and therefore the daily cash drawer is affected. When a gun is pawned the firearm file acquisition information is automatically entered. A status code is maintained for each loan, it is a single letter code. Following is a list of all status codes:

When writing a new loan it is important to remember that the item being pawned could eventually reach the inventory for sale. So it is important that the category be correct, especially on firearms. If the category number for a gun is in the 900's action and caliber fields and importer will be requested, and a firearm record will be written when the loan is completed.
