AlphaPawn User Guide

The category file is a list of subject numbers that is used by the items in inventory. The categories are numbered from 1 through 999, with the range of numbers from 900 through 999 specifically assigned to firearms. If APS is used in more than one store, it is advisable to keep the category definitions the same for each store. Then, when employees transfer between stores they will know the same category codes.

The maintenance routine uses the standard modes of add, change, delete, and inquire. There should be a corresponding bulk stock number in the inventory file for all categories from 1 through 899. By creating a bulk item in inventory the employees can sell an item as a bulk that does not have a stock number tag. Bulk items are normally those items that are not worth putting into inventory and sell for a small amount.

The data fields of the category file are:

Category

The three digit unique code that identifies the category

Description

The category definition or type of items that are assigned to the category.

Local Police code

A code assigned by the local police department that is addition to the NCIC code.

NCIC Code

The code assigned by the Federal government for this type of item. The local police departments sometimes will modify the NCIC codes and reassign the values for their departments.

Type of labels

This field designates what type of label to print. An L says that the stock label is the one by three inch large stock labels. The J says to print the on the jewelry labels. An N say do not print a label for items in this category.

Group code

There are four codes that are used to group categories. They are G=General merchandise, J=Jewelry, L=Long guns, and H=Handguns.

 

There are four additional fields, minimum age for Loans, Purchases, and Sales, and Taxable sales. Currently these fields are not used and may be implemented in the future.
