Appendix H: Common Data Fields

Following is a list of common data entry fields that are used throughout the system. In addition to this standard list, each chapter will explain data entry fields that are unique for that particular section. The entry fields are in alphabetical order using the same spelling as the entry screens.

 

 

ACTThe action type of a gun/firearm; see Appendix C for a list of suggested action codes.

 

ADDREnter the street address of the customer or pledgor when prompted, there may be enough room on the screen and “Address” will be displayed. If there is an apartment number then enter it on this field: 678 E. Cullen, #205.

 

B-DAYEnter the birthday in a MONTH, DAY, and YEAR format of MMDDYY. If the birthday is February 9, 1952 then enter 020952. The date must always be six digits long, therefore always use leading zeros as space holders. The loan routine will NOT allow pledgors younger than 18 years old.
 
Note for Release 6.0 the year 2000 software dates will accept an eight digit number in the format MMDDCCYY. The software will allow abbreviated dates to be entered in any of the following forms: D, DD, MDD, MMDD, MMDDYY, or MMDDCCYY.

 

CALIBEnter the caliber of the firearm.

 

CATUse the category description listing to identify a particular item. Note all firearms are in the range 900-999.

 

COLEnter the four character abbreviation for the major color of the item. Check Appendix C for suggested abbreviations of major colors.

 

CITYCity of the customer, <RET> to accept the displayed value

 

DESCRIPTIONAdditional description with identification marks and unique markings or comments

 

EMPEnter the assigned employee number of the person making the transaction.

 

FIRST NAMEEnter the first name of the pledgor.

 

HGHTEnter the height of the person in feet and inches. For example enter 6-2 or 6.2 for six feet and 2 inches. Always enter a zero even if the person is exactly five or six feet tall: 5.0 or 6-0.

 

LAST NAMEEnter the last name of the pledgor.

 

LOCThis code that denotes where the item will be stored. Refer to your store's location chart for the proper code. This code may be changed if the item is moved within the store.

 

MANUFACTEnter the name of the manufacturer.

 

MIDDLEEnter the middle name of the customer.

 

MODELEnter the model no. of the item.

 

RACE/ETHEnter one of the codes for race: W=White, B=Black, H=Hispanic, A=Asian, I=Indian, U=Unknown

 

SERIAL NOEnter the serial no. of the item, may be numbers and letters. If there is not enough room for the entire serial number, for example an auto VIN, enter the characters on the right side of the VIN as they are the unique part.

 

SEXEnter the sex of the person either F or M for female or male.

 

ST (ID).Enter the two character state abbreviation for the state where the identification (ID) was issued. If the ID is military then enter "US". See Appendix B for two letter state and country abbreviations.

 

STATEState of the customer, <RET> to accept the displayed value. See Appendix B for a complete list of 2 character abbreviations for states, US Military, Mexico, and Canada

 

STOCK NOThe stock number is the individual inventory number of an item in the store's inventory.

 

TYPEType of identification, enter a number. The possible types are displayed in the prompt field.

 

TYPEAction code for firearms, see Appendix C.

 

WGHTEnter the weight of the person three digits.

 

ZIPZip code of the customer; if the zip code is entered then all five digits must be entered.
