AlphaPawn User Guide

The inventory file structure consists of two files: a receipts file and a master file. The receipts file is a temporary "gathering" file to capture any loan pulls, orders received, and purchases from customers. There is a field in the inventory file called origin no., this number is the transaction number of the loan or purchase that caused the item to enter inventory. When an item is in the receipts file the operator may enter a stock no., retail price, price code if any, and other information. Once a batch of inventory receipts is complete, (usually at day's end), the items are posted to the inventory master file. This also prints stock number tags, and clears the receipts file. The master file maintains the stock no., the cost/sale amount, quantity, average cost, and serial number.

If an item is added to the inventory a new stock number will be assigned if required. If the stock number is an individual item then the quantity of items is increased and the average cost of items in inventory is re-computed. If the stock number is a bulk item then the cost of the item is added to the current cost of bulk items in inventory.
